Authorize an initial rental vehicle request during first notice of loss

How to review the initial rental vehicle request before submitting a rental vehicle authorization.

Prerequisites

The customer's vehicle is non-driveable.

When this applies

The customer requests a rental vehicle during first notice of loss (FNOL).

Note: Before a rental vehicle is authorized, the customer must select a rental vehicle provider. ICBC recommends that customers use one of its preferred vendors; however, it is the customer's decision on which rental vehicle provider to use.

Procedure

  1. Review and confirm the following claim details:
    • the customer's
      • available coverage which could include
        • RoadStar
        • Roadside Plus
        • Optional Loss of Use, or
        • Loss of Use coverage under Basic Vehicle Damage coverage
      • daily and maximum coverage limits, if applicable
      • policy expiry dates
      • vehicle make and model, and
      • goods and services tax (GST) registrant status information is correct
    • responsibility, and
    • regional location.
    Note: For Enterprise Rent-A-Car rental vehicles, the "Other" postal code field is used when the customer will pick up the rental vehicle from a location other than the Enterprise branch closest to their home address.   2. Determine if the initial rental vehicle request can be authorized.
    Note: If there is a concern about the claim, such as a breach, advise the customer that payment of their rental vehicle fees receive consideration on a reimbursement basis.
    If the initial rental request is ... Then ...
    authorized for a rental vehicle from Enterprise Rent-A-Car
    • create and submit the rental vehicle authorization though the Rental screen in the New Claim Wizard, and
    • advise the customer that Enterprise Rent-A-Car will contact them within one hour to confirm their rental vehicle needs.

    Important: If the rental vehicle is not required immediately, advise the customer to contact their claims representative to arrange for a rental vehicle for the dates they require it.

  3. Save and assign the claim.
  4. Create the exposure and reserve line for the applicable loss of use coverage, if required.
