Manage rental authorization request prior to estimate submission

Collision repair program participants submit a rental authorization request before submitting a repair estimate.

Prerequisites

The customer requires a rental vehicle immediately.

When this applies

The participant accepts a drivable vehicle and the customer has Loss of Use coverage.

Note: When the vehicle is accepted by the participant with an approved claim number, the cycle time key in date commences.

Procedure

  1. Submit a Repair Facility Support Request form- Direct Rental Referral on the same business day that the rental is booked, including a note in the comments section outlining why advance notice could not be provided.
Important: If, with the agreement of the customer, the participant elects to book the customer directly into one of ICBC's preferred rental suppliers, the participant is not required to contact ICBC's Loss of Use team. When a preferred rental supplier is not directly booked by the Participant, the Participant must contact the applicable ICBC Loss of Use team to advise that a customer is waiting and in immediate need of a rental vehicle. A Repair Facility Support Request form - Direct Rental Referral must be submitted by the end of the same business day. For more information refer to Loss of Use contacts on the ICBC business partners page.
  2. Submit the repair estimate no more than two business days after the ATS Responsibility Date.
Note: The participant is not required to manage the customer's alternate transportation needs if the Repair Facility Support Request form - Direct Rental Referral and repair estimate are submitted within the required time frame.
