Manage heavy equipment non-supplier repair estimate

Steps on managing a repair estimate from a heavy equipment non-supplier repair facility.

Prerequisites

The repairs cannot be performed by a heavy equipment repair facility that has an ICBC supplier number due to the diversity of the equipment requiring repairs.

When this applies

Some specialty heavy equipment non-suppliers may bill ICBC directly, and are eligible for heavy equipment labour rates. This is an exception to the rule that repairers must have a supplier number.

Procedure

  1. Confirm with the Manager, Estimating Services or designate that the claim involves a heavy equipment vehicle.

    If the claim...

    Then...

    is a heavy equipment claim

    accept and process the invoice as usual.

    is not a heavy equipment claim

    contact the customer and supplier to explain that the customer must

    • be added to the Vendor Master to facilitate payment when the supplier is not identified on the claim
    • pay the repairer directly, and
    • submit the invoice for reimbursement.

  2. Discuss the claim with manager or designate, and note the claim file accordingly.

Specialized repairs

Examples of specialized repairs include but are not limited to cranes, backhoes and concrete pumps.
